Encrypting Email using Outlook
*Microsoft Outlook offers a tool that will allow you the encrypt emails. Only those who are recipients of these emails (To, CC, BCC) will be able to view the contents of the email. When the encrypted email is received, the recipient will need to click on a button to view the message. Once they do so, it will prompt them to log in with the email address that was intended for reception. This article outlines these steps.**
1. From outlook, select "New Email".
2. Select the "Options" tab at the top of the message. You will see an option for "Encrypt". Click the drop-down and select "Encrypt Only". You will notice a flag is marked on the message now that states this action has been applied.
3. From there, address the email addresses who you would like to send this message to and construct the email as normal. Once completed, send the email.
4. For the recipient, once the email is received, they will be prompted with the following:
The recipient will need to select the button "Read the message".
5. They will be redirected to a page that will ask them to validate their credentials, if it is an external email address. Internal email addresses will be able to view the contents without doing this step.
6. Once authenticated, the recipient will now be able to view the contents of the email.
**Additionally, you can select the option for "Do not forward". This option is also listed under the "Encrypt" drop-down under "Options". People will still be able to forward the email, but it will disallow the person who it was forwarded the message to authenticate to view the contents. **
